Warranty Administrator

Responsibilities

  • Obtain equipment and tooling repair costs for customer owned items
  • Facilitate meetings with subject matter experts to determine billable items
  • Develop customer quotes and distribute to customers
  • Maintain tooling past warranty activities
  • Maintain, track, order, coordinate, execute, report, and invoice customer past warranty activities
  • Procure and maintain customer spare part packages
  • Maintain and update customer maintenance agreements
  • Maintain records, documentation system and manuals for specific departments 
  • Assist with spare parts inventory system
  • Train maintenance, tooling, and engineering personnel on work order documentation
  • Maintain and update data in ERP system
  • Audit work order documentation
  • Provide cost / data analysis for special projects
  • Process purchase orders and maintain parts inventories
  • Communicate with suppliers when placing orders and requesting quotations
  • Evaluate approved supplier listings including ISO certifications
  • Identify potential sources for new parts and equipment
  • Negotiate with suppliers on pricing, delivery, and services
  • Maintain maintenance records, documentation system, SOP’s, and WI’s
  • Provide reports and graphic presentations
  • Accurately manage purchasing and charge card transactions
  • Continually develop more consistent processes for organizing, inventorying, and ordering supplies by working with various vendors
  • Create work orders for maintenance and maintain filing system
  • Open and close repair work orders and check for accuracy
  • Coordinate invoicing and purchasing for purchased parts
  • Some programs may have vision requirements
  • Other duties as assigned

Qualifications - Education & Experience

  • Administrative Associate Degree or equivalent education and experience
  • 2- 3 years of experience in similar role desired 

Qualifications - Skills & Competencies

  • Proficient in Microsoft Office software programs and computer software (word processing, spreadsheets, manufacturing systems)
  • Experience with IQ, databases, and preventative maintenance software desired
  • Must have excellent verbal, written, and interpersonal communication skills
  • Ability to work independently as well as part of a team
  • Accurate typing skills
  • Must have excellent organizational, time management, and basic math skills
  • Ability to effectively prioritize duties and be self-directing
  • Ability to maintain confidentiality
