Maintenance/Tooling Administrative Assistant

Responsibilities

  • Support a new state of the art manufacturing facility
  • Track accounts payable for tooling, reconciling month-end reports to general ledger accounts and generating reports as requested
  • Order supplies for production, tooling and maintenance
  • Assign work requests and preventative maintenance work orders
  • Manage maintenance and tooling databases
  • Maintain steel crib inventory and keep tool crib organized and clean
  • Effectively control tooling shipping and receiving for the mold manufacturing and repair team 
  • Transport materials between facilities and suppliers
  • Maintain tooling warranty activities
  • Facilitate meeting with subject matter experts to determine billable items for warranty work
  • Maintain records, documentation system and manuals for specific departments  
  • Set up and maintain project data in manufacturing system 
  • Maintain logs and files 
  • Continually develop more consistent processes for organizing, inventorying, and ordering supplies for specific departments
  • Create work orders and maintain work order filing system as needed
  • Coordinate invoicing and purchasing for tooling/maintenance/office supplies purchased parts
  • Generating reports as requested by various departments
  • Create, distribute, and maintain procedures and records for specific departments
  • Enter hours accounting as needed by department
  • Input data into Continuous Improvement System
  • Maintain MSDS records
  • Some programs may have vision requirements
  • Other duties as assigned
  • Safety/Environmental:
  • -Where applicable, individual is pre-planning safety into work activities to improve performance
  • -Proactively identifies safety concerns
  • -Complies with Environmental Management System program SOP’s/WI, Policy & Program elements and encourages responsible use of resources

Qualifications - Education & Experience

  • Administrative Assistant Associate Degree or equivalent education and experience
  • 4 - 5 years of experience in office environment 

Qualifications - Skills & Competencies

  • Proficient in Microsoft Office software programs
  • Very strong organizational, interpersonal, communication and customer service skills
  • Self-motivated and able to work with minimal supervision or with a team
  • Ability to perform multiple tasks at one time
  • Ability to effectively prioritize duties and be self-directing
  • Ability to maintain confidentiality
